Filofax College - Week 5 - Getting out that Planner Fail

Today I am going to teach you a lesson about how to escape that planner fail!

This is something that has been happening to me recently, and with a little bit of reading I came to a way to escape this nightmare, so here is a lesson on how to do that.

First of all, as it is the end of term due to school holidays we get to watch a video! YAY (Term starts again on Monday 5 November!

Here is the video...

As you can see what you need to do is to make a little file, it can be a section in your Filofax or an envelope cut up like I did.

Untitled

Then break it all down and write everything, first of all make a mind map of all the different ideas you want to try, and ideas you have tried.

Untitled

You will need to make a short list, and answer a few questions.

1. What do I need my planner for?

2. What sections do I need?

3. Do I want it bound or a ring binder?

Once you have decided on your ideas, start to break down the ideas on to piece of paper and make lots of notes, like this:

Untitled

Untitled

Untitled

I find graphs and charts really help me know what I want from something.

Your Homework this week is to (if you are having planner fail) to write out what you want from your organise, how you will get that and what steps you will take to succeed with it. Even if it is just to plan for a different layout in your Filofax, then post some of the pictures of your planning stages in the Filofax College Flickr Group.

I have noticed that people have not been getting involved with the Homework, and also that people seem to read my blog less since I have stopped using Filofaxes so much. Have I done something wrong?? Or do people only want to know when it is something Filofax related and as I am not in Filofaxes I am no longer part of the group?

Filofax College - Week 4 - Tracking your Spending with a Filofax

Hello Students

This week at college we are going to learn about Finance Sheets, I know a few months ago I did a post on how to use them, but I am going to be using that and adding in a bit of homework, as I feel it was a useful post and rather than just link you to it I have taken out the How to use it part.

I feel that I should of waited for Filofax College for this post rather than do it earlier on. But some of you may not of seen it. Here is how to use a Finance Sheet, there is a bit of homework at the end!

-------------------------------------

Here is a key as to how to use a Finance/Expenses sheet: (I will explain each point no matter how obvious and simple they are)

Untitled

Date - This is where you would put the date of the expense, or purchase, or income, e.g. 3 July (my birthday)

Description - This is where you write what the expense is? e.g. Imy's birthday present

How you paid for the item? Here all you have to do is tick the correct box, there is Cash, Credit/Debit Card or Cheque (I know Cheques are pretty much a dying thing so maybe say PayPal instead? as an idea)

Next is the Income and the Expenditure section... this is where it can get confusing...

The Minus, is the Expenditure side, which is where you write what you have spent, so say you spent £60 on my present you would put it in that box.

The Plus is Income which is if you receive money, whether it be wages, eBay money etc...

Total is the final column, this is where you total up all the Income and Expenditure, but depending on how your using the sheets it can vary.

If you are putting your wages at the top and adding in Direct Debits and all you will obviously take off any expenses and add on any Income, but I use it in such a way that I do not write my wages, I just try to keep a track of everything I spend, so I add the Expenses Column up and then take off any Income which then leaves a total expenditure.

As you can see it can get very confusing and messy, so I have done a small example for you below:

Untitled

Here is the receipt that is next to my finance sheet ready to go through it and break it down to use in the sheet.

Untitled

When I see the receipt, this is what I see, I don't look too much at what I bought, I usually put it under a set category.

First thing I do is the DATE

Untitled

Next is the Description

Untitled

How did I pay for the item?

Untitled

Is it an Expense or Income? How much did I spend?

Untitled

Total

Untitled

I carried forward the total on the opposite side of the sheet, which left the total so high.

----------------------------------------

Now that you had read that, if you have any questions post them below, and I will explain. Now to let you know your homework.

I want to you to keep a Finance sheet in your Filofax for a week. Do not worry, you do not need to go out and buy some, all you need to do is open the picture below and print it off, if you print it on A4 you can just trim it down then hole punch it or just keep it in your Filofax to see if it helps you. (If they work you can obviously buy some and use them)

Sorry this was the best picture I could get using my phone (and as I cannot host files I cannot make one etc... so this will have to do for now)

Once you have filled it out for the whole week, use highlighters to colour code everything you spend.

Untitled

It will look something like this.

If you want to share it with everyone you can upload it to the Flickr group... Filofax College Flickr Group to show everyone how your homework is going, then the best three I will put at the bottom of the next lesson!

Also in the description of the picture write how you found then and if you are going to purchase some and continue to use the Finance Sheets!

I hope you have enjoyed Filofax College and come again soon!!!!

Week 3 - Filofax College, Downsizing - by Paperlovestory!

Here is a second lesson from the wonderful Paperlovestory she is today talking about Downsizing as compared to Upsizing last week  It has been wonderful having her guest post on my blog for the few days I have been away and unable to write for Filofax College!!! Her posts have been useful and also it has got other members of the Philofaxy community involved which is exciting! So here is her lesson! ENJOY!!! (It wont be the last time you will see her post on my blog)

Welcome to part II of the Upsizing and Downsizing lesson. Once again, thanks, Imy, for letting me do a 'lesson' for Filofax College :)

We will look at downsizing in a similar way to upsizing but we will concentrate a lot more on the logistics as downsizing is a slightly bigger job than upsizing!

So, firstly, why downsize?

Well, as explored in the upsizing lesson, the weight can get a bit much. Also, you might analyse your binder one day and realise that a lot of it you carry around isn't even looked at on a regular basis! Having pages that you don't necessarily need can mean that you're adding weight to your binder when you don't need to. Moreover, having larger rings can mean that you're seduced into cramming more into your Filofax whether or not you want to.

Another reason for downsizing could be because you're using pages with too much space. There are two ways to combat this though; either use diary inserts with a different layout or use a smaller binder.

With all that in mind, we will now have a look at the ways downsizing can be done.

Downsizing Ring Diameter

The first thing you have to be, if you're serious about this, is BE BRUTAL. You need to chop the things that are not used regularly enough to deserve their place in your binder. In order to do this, you must first look at what you need. Diary inserts are a given - but do you need a whole year in there? Could you potentially use two binders simultaneously? One that stays at home and another that goes everywhere with you? If so, the 'at home' one could hold the latter half of the year's inserts while your 'mobile' binder has inserts for the first six months of the year. You may need to do some planner admin every night or two, though.

Add other inserts you have looked at/used in the past two weeks. Put these together with the diary inserts. Now, consider if you need anything else. No? Well, measure how high these inserts are and that will give you can idea of the ring size you need.

Downsizing Binder Size

Again, this calls for a degree of brutality. A smaller binder size not only means limited writing space but also a decrease in ring size too (in most cases) so you need to take two things into account as opposed to just one if you're just downsizing the ring diameter.

Another thing that may be a deal breaker is the layout of card slots, zipped pockets, slip pockets, etc in other sized binders. With a smaller binder, you could potentially see a decrease in card slots and all these nifty extras that you may have found handy in your current organiser.

Real Life Case Studies

Angela (personal --> compact --> slimline)

Having started off using a personal sized organiser, I had no other size to compare the weight and paper real estate with. The personal size was working for me but it started to get heavier and heavier with each day as I added in sheets of info I thought I would need and things like that. And so, I opted to downsize to a compact - the Temperley Affair. This worked well for me but I found that adding in a Flex notebook meant that the weight was comparable to my personal (but still not as heavy). I liked the Compact size and was quite gutted when it had to go back due to a ring problem. Eventually, I took the plunge and downsized to a Slimline. This meant that I would be carrying less than half of what was in the personal!

I found that I had to be brutal but also compromise on what I was to carry. I went through all my info pages and clear envelopes that I carried in my personal and had a really close look at what I needed whenever I left the house. This led to the transfer of only one info sheet! And because of the limited rings, I had to compromise on the diary pages and I only have nine months of 'week on two pages' inserts in there now. I managed to cram in two notepaper sheets (as opposed to about 20 in my personal!), three to-do sheets and a few blog planning sheets too.

Although it can be daunting to be so brutal, the fact that I now carry something less than half of the weight of my personal has definitely been beneficial for my shoulders (as I carry my organiser in my handbag!).

Josh  @JoshuaLaPorte on Twitter, his blog and his Youtube

The problem, for me at least (with the A5, link here to upsizing), was that this binder failed to be portable, and I found I didn’t have it with me when I needed it. In addition, the huge amount of space plus the large page size allowed me to develop bad habits relating to inefficient use of space. I would have a whole page with only a few words written on; I’d keep obsolete information in the binder. I had huge numbers of forward diary with nothing entered on yet. In the meantime, the fact that the binder sat on my desk so often made it practically useless.

So I downsized back into my Cavendish. But I’ve found that I was using diary pages rather inefficiently. Many days would only have approximately 50-60% of the page area filled with notes. Because the binder options with 30mm rings are so rare, I decided to try fitting into a 23mm ringed personal size binder again. If I can make this size work, there is a large selection of new and vintage binders which I can use. The smaller ring size forces me to be more economical with my use of paper and space within the planner, which I feel reinforces good habits.

To this end, I looked through my planner to find poorly utilized inserts. The culprit was most certainly the day on two pages diary setup. Not only is this setup very paper heavy, it can make forward planning difficult due to the very granular “view” offered of only seeing one day at a time. The diary also included month views but I did not consult these much except when scheduling appointments. I’ve recently implemented a new setup based on a Cotton Cream Week-on-two-pages diary with extra notes pages leaved between the week views to capture notes and to-do items. This change, plus relocating my wallet contents to a wallet, allowed me to easily fit into a 23mm Domino personal size binder. I find the smaller size and lighter weight to be pleasant changes and I’ve not noticed any issues with lacking space to write things. As with any planner setup change, there is a learning curve during which you need to figure out how to work with the new setup. This process seems to be moving smoothly.

Jotje

So, Angela asked me to write a few lines about my various Filofax-size changes. My first ever Filofax – bought back in 2010 – was an A5 pink Finsbury. A rather natural choice, because I have used TimeSystem planners for many years in my workplace (back when I was employed), and the T/S was also A5 size. Then, and this won’t need further explanation, the Filofax bug bit me. Bit me hard. And I started buying more Filofaxes, also in Personal size. And soon came the day when I felt sorry for the unused (or “underused”) beautiful Filofaxes I had, and I started thinking couldn’t my Work and Personal Life fit in a Personal binder? And that’s what I did, I changed it all over to Personal. I even wrote a guest post on Philofaxy about it, you might remember the 2PPD inserts in the bright red Malden.

At the same time I was using a Pocket Filofax as my wallet. And – just when things went a bit calmer workwise – I wondered if I could downsize even one step further – into a Pocket Filofax. And, that’s what I did! I used 1DPP inserts , together with weekly and monthly pages. And it even doubled as my Wallet! This resulted in yet another guest post, this time in my Vintage Pink Pocket Malden.

Unfortunately, when my work load picked up again, the Pocket turned out all too tiny. So, back to Personal I went. Then we launched a huge project and after having missed some vital deadlines/information, I returned to my old trusty 2PPD in my A5 Filofax. This time in my A5 Vintage Pink Malden, which I had bought used from ebay.

Will I stay in A5 forever? Nah, probably not. It all depends on how work is developing. Calm times will make me crave a smaller Filofax (I expect to be bitten by the bug again come Christmas), and busy times (beware February ...!) will make me upsize again.

To be honest: I can totally live with that!

One piece of advice though: do not attempt to rewrite the past months (or even year) in the new size. That’s really a total unnecessary waste of time. I just put ALL inserts of a full year in a large IKEA DVD box, label it with the year number and be done with it.

Homework

Ok, so I am only human. I have limited experience in up and downsizing so I may have missed some excellent points! To combat this, the homework is to Filofaximy@live.com email in some of your own tips you may have accrued from your own up or downsizing experience. The best tips will be featured in a blog post and there *may* also be prizes :)

Filofax College - Week 2 - Upsizing - Guest Lesson with Paperlovestory!

Here is week 2 of Filofax College, as I am away in London this week for two days I arranged for a very special teacher for you all!!! Paperlovestory!!! She will also be teaching you next week as her lesson is split in to two! I hope you enjoy it and learn lots!

Welcome to another lesson at Filofax College :) Imy has very kindly allowed me to do a lesson Upsizing and Downsizing. This is split into two parts so first, we will look at the easier option: upsizing. In this lesson, we will look at why it may be necessary, how to do it and also real life examples.

So, firstly, why?

Well, life is ever-changing. For life at university, you may have found a mini or a pocket sufficient for your planning needs but when your working or family life begins, you may find yourself planning other things; work tasks and projects are a few career examples and in terms of family life planning, often you'll have to plan for other people too. This is when the extra size or capacity can be beneficial.

Ways of upsizing include going up a size. This could be as simple as personal to A5 or pocket to personal but I have seen some Tweeps talk about jumping from pocket straight to A5! However, upsizing an also include increasing the ring capacity. For the personal alone, there is the Slimline (11mm rings), the Compact (15mm rings), a standard personal (23mm) and also a larger personal with 30mm rings (though these are few and far between).

The one negative about upsizing is the increased weight you will inevitably lug around with you. Back in August, I took my stuffed personal Osterley on a day trip to London and the next day, I woke up with bruises on my shoulder from where my bag's straps had been! I took everything out of my bag and the thing that was heaviest was actually my Filofax. So, upsizing to an A5 may have its perks (increased ring size in some cases and increased space in every case) but bear in mind that the weight can increase dramatically! Join the Filofax Heavyweight Contest

To end the first part of this lesson, I have some real life examples of upsizing.

Josh @JoshuaLaPorte

I tend to horde in my Filofax, and consequently find myself exceeding the capacity of my binder quite easily. When you take a day-per-page diary, add copious notes, extensive reference information, and a comprehensive contacts section, a few card holders and top opening vinyl envelopes, you quickly find a standard 23mm ringed personal Filofax overstuffed. There are a three main options at this point; you can remove some part of your planner setup, you can swap to an A5 size binder, or you can search out a personal sized binder with larger rings. In my case, I found that there were really no functions I was comfortable with removing from the planner setup, so I was left with the latter two choices, and tried both.

Filofax has made a few personal sized binders with the larger (30 mm) rings. The “5/4” Winchester, Portland “Grand”, Cavendish personal, and Cuban zip all have the large capacity 30mm rings. 30mm rings are usefully larger than the more standard 23mm rings offered in most personal size binders, but are not so large as to make the planner less portable. For many, this is an ideal size. I was lucky enough to find a Cavendish in Navy which I’ve used for most of this year. The 30mm rings allowed me to carry my wallet contents, all my contacts, a very comprehensive collection of essential information, notes, and about six weeks’ worth of day on two pages diary setup. By placing most of the reference information and contacts at the front and rear, I put the pages which get written on most fairly close to the center of the binder, which helped prevent the rings from being an encumbrance when writing in the binder.

After several months of this setup, I found my binder reaching the bursting point again. I decided to try upsizing a second time, and moved into a US half letter size binder, roughly equivalent to A5 size. This binder had massive 1.5 inch rings, measuring roughly 38mm inside diameter. This huge binder allowed me to carry far more of my day on two pages diary and the ease with which I could add work documents meant that many new items were added to the setup.

Imy (pocket to compact to personal)

the two filofax

I was so in love with my regency but there was just something a little wrong with it, it was getting too small, it was becoming time to upsize! I just couldn't take the small size any more. The rings were too full, the binder was hard to close (not just stuff on the rings but the pockets were overly full). I took the plunge and knew I needed to upsize and get some bigger rings before I broke a Filofax, I tried to move into an old Filofax so many times but there just was not enough love there! I knew I had to buy a new binder, and so I did. I bought the Osterley, and upsized to that. The best part about going from Compact to Personal is that you do not need to make new inserts, reprint anything etc... you just can take it out and move up!

Stay tuned for part II: downsizing. The second part is where the homework will be so keep your eye out! :)

Thank you very much for this post on upsizing and I look foward to reading your post next week on downsizing!

Filofax College - Week 1 - To-do Lists #1

Ring Ring - bell for the first day at College is ringing!

Welcome to the first week of Filofax College.

I am going to be working thought the lessons using some help from some organisational books I have found, things I have found on the net, and also maybe some blog lessons on the way, not that I am amazing at blogging but I thought it could just keep it a bit exciting.

I would like to welcome all new members and I would like to take this opportunity to thank you all for joining me. As from now on every Monday will be Filofax College, I will try not to have any breaks. If anyone would like to be a guest poster please let me know, email me and I will let you teach a lesson!

We may even have some Skype discussions with Filofax College, I will make vidoes for you to follow and learn from! I am very excited about this year of Filofax College!

I am going to do a few different posts on To-Do lists, I know you are all thinking, how can  you make more than one post on to do lists, well I can as I have a few ideas you can use, just depends which you prefer.

I have a few ways I organise To do lists and if I chuck it all at you at once, you may be a bit like.....WHATTTT HELP IM SCARED WHAT DO I DO, YOU SAID DO THIS BUT NOW YOUR DOING SOMETHING ELSE... they were some examples.

Today will be Colour coding To-Do List.

What you will need for this is, A pen & coloured paper (& a Filofax if you own one)

There are two options of how to start this, you can either make one huge list of everything on a separate sheet of paper first then gradually distribute them over the colour coded pages or you can write it as you think about it.

I always make one big list with everything on it.

Here is my example:

Untitled

Untitled

Then once I have done that I choose some set categories and transfer them on to coloured paper.

I first of all get a pile of different colours and think which category goes best with which colour...

Untitled

Untitled

Here are my titles, I did also have Miscellaneous but I tore that list up!

I then wrote out items from my main list on to each catagory

Untitled

Untitled

This is one way I organise my to-do lists in a few weeks time I will show you another way.

Today's homework is quite simple introduce yourself below in the comments i.e.

Hello I am Imogen, and I use a Filofax, I am 22 years old and live in the United Kingdom.

Then join the Filofax College Flickr Page and share a picture of your attempt at colour coding to-do lists, I would love to see how you get on!

Next week is a special guest lesson, look out for it next Monday!!!

Sorry today's lesson was so short, but I didn't want to overload you with information, the next to-do list lesson will be more in depth and helpful!

WELCOME TO FILOFAX COLLEGE!
